To add a pilot to an organization, they will have to be invited to join. Before inviting a pilot, it should be decided whether to add the pilot by using an email address that is associated with an existing account (preferable) or to invite the pilot by creating a new account.
Existing vs. New Account Invitations
A pilot can be added to an organization account by inviting the pilot using an email address associated with an existing ForeFlight account or by creating a new ForeFlight account within the organization. It is typically preferable to add an existing account rather than create a new account. Before adding a pilot to an organization, check with the pilot to see if they have an existing ForeFlight account that they would like to transition to be a part of the organization account.
Why Add Users that Have an Existing Account?
It is preferable to add a pilot to an account using the email address their existing account is under because pilot-specific information, such as imported documents, logbook entries, endorsements, and Track Logs, will stay with the account the pilot will use. Those items cannot be moved between separate accounts.
If an organization requires pilots to use a specific email address, an administrator can invite the pilot using the email address their existing account is under and then update the email address the account is under after they join the organization. Alternatively, the pilot can update the email address their account is under on their own after they join the organization.
Why Add Users that Don't Have an Existing Account?
If a pilot does not have an existing account, then it is easiest to simply invite the pilot to join the organization and have the new account created under the email address used to invite the pilot.
Inviting Pilots to Join an Organization
Administrators of an Organization can add pilots to the account one by one or in bulk with a CSV file.
Adding Pilots Individually
Pilots can be added individually using the Add User option on the website. To do so:
- Go to ForeFlight on the Web.
- Log in as an Administrator.
- Select Users from the left column.
- On the Users view, select the Users tab if not already selected.
- Select Add User.
- Select the Email Address option.
- Enter up to five email addresses associated with users who will be added.
- Click Add Users.
Adding Pilots in Bulk using a CSV File
To add pilots in bulk, there is an option to upload a CSV file with the information needed to add pilots. The CSV must contain the email address in the first column and can include up to 3 additional optional columns, which are:
- Full Name
- Phone Number
- Crew Code
NOTE: The Crew Code field only applies to Business Performance accounts that have purchased ForeFlight Dispatch. If the account is a Business Pro or a Business Performance account that has not also purchased ForeFlight Dispatch, the "Crew Code" field should be omitted from the CSV.
Below is an example of a properly formatted CSV file:
Email,Full Name,Phone Number,Crew Code john@example.com,John Smith,555-555-5555,A1
Once the CSV file has been made, to import the list of pilots:
- Go to ForeFlight on the Web.
- Log in as an Administrator.
- Select Users from the left column.
- On the Users view, select the Users tab if not already selected.
- Select the Add User button to add a pilot. A popover will be presented with the Email Address option pre-selected.
- Select the CSV option.
- Click Choose File.
- Select the file to upload.
- Select Upload.
NOTE: If one or more pilots being added already have an existing ForeFlight subscription (whether individual or part of another multi-pilot account) under the email address entered, a pop-up will be presented to send an invitation email to that user.
If the user accepts the invitation, their address will be added to the multi-pilot account, and their current ForeFlight subscription will be canceled.
